The following outlines policy for the management of photos from training events.
  • After a given training event, photos will be made available from the website for viewing.  This will be through the website gallery, with each event being its own gallery series, and named according to the event it was from.  Photos need to be downsized to be uploadable to this part of the website.

PROCEEDURE TO DO THIS:

  1. While on training, save the photos from the slide show presented to a USB stick, and provide it to the Monitor and Support VITAL staff member.
  2. They will then take these photos from the slide show presented on the final night, and downsize the photos.  This is done through Microsoft Office Picture Manager, under tools in Microsoft Office.  Select the photos, edit, and compress.  Use discretion about the number to go online, and try to keep to under 50 for a week long event.
  3. Through the backend management of the website, upload photos to the website gallery.  (See CMS Manual for details on how to do this)
  • As well as this bulk lot of photos, 2 printable quality group-photos will be emailed one week following camp.  This will be attached as part of the follow up email from the Monitor and Support role and will include 2 photos 3-4MB each.  As well as sending the group photo as a free gift to them, it will encourage them to visit the website to see the rest of the photos from camp to show their networks etc.  This will be included in the email as a link to that particular gallery.

PROCEEDURE TO DO THIS:

  1. This email will need to be sent through Outlook, as the photo size is to large to filter through the website.  Email lists can be exported from groups and cut and paste into an outlook email.  The list can then be saved through outlook if desired.
